HOW DOES CLINICOVERY WORK?

Clinicovery is a multi-platform tool designed to facilitate both personalized patient monitoring and the creation and management of research projects in the health sciences. Clinicovery works as a Web service or SaaS (Software As A Service) which provides advantages at different levels:

1. The design of electronic forms is done online by accessing the Clinicovery web tool and storing the collected data in the ‘cloud’, without requiring the installation of specific software or complex integrations.

2. Data collection can be done both online and offline through electronic devices, using the Clinicovery native Apps for iOS and Android. In case a form is completed offline by the patient/participant, collected data will be automatically synchronized with Clinicovery as soon as the connexion is available again.

3. Data visualization can be carried out at any time in real time through the web tool Clinicovery.




WHAT DO I NEED TO USE CLINICOVERY?

Clinicovery web allows you to edit notebooks and PROs, as well as consult the data at all times, requiring only a device with an Internet connection.

Clinicovery APP allows you to collect data through devices mobile phones (tablets or smartphones) requiring the download of the App through from Google Play or Apple Store.




Do I need to have staff u other technical resources for

No. Clinicovery does not require specific technical knowledge, servers in the client's workplace or complex facilities. Through the web and native Apps, Clinicovery allows any user with basic technological knowledge to take advantage of all its functionalities.




Can I test the functioning of Clinicovery?




Can you define different roles?

Clinicovery allows you to configure the management, researcher and participant roles, limiting access to the modification of forms or visualization of data. Clinicovery allows defining the access that different types of users will have to the data and functionalities.




Is Clinicovery safe ?

Given the nature of the data Clinicovery manages, our priority is that data traffic is always done safely and with all legal guarantees. In compliance with current legislation on personal data protection and computer security, the collection, transmission and storage of data is carried out in encrypted form by Clinicovery.




Where are the Clinicovery data stored?

Clinicovery uses as server provider Amazon Web Services (AWS), the most robust provider that can satisfy the security requirements of the most sensitive data and the most demanding organizations.




Does Clinicovery allow compliance with the LOPD?

Yes. Clinicovery allows you to comply with current legislation on data protection as well as with the new Regulation (EU) 2016/679 on the protection of personal data.




Does Clinicovery comply with FDA (CRF 21 Part 11) and EMA (Annex 11)?

Yes, Clinicovery complies with regulations on safety in the use of electronic devices collected in the FDA (CRF 21 Part 11) and EMA (Annex 11). Clinicovery has a system that allows you to trace the audit recording the changes made by any user in the data.




Once the study is started, can I add new variables or rules to the CRD?

Yes, of course, we also have a great testing environment that will allow you to validate the changes made to your CRD before they are available to other users. In this way you can check exactly how the changes in the data entry application will be reflected before proceeding to its final inclusion in the real environment.




In what format are the data exported?

The data can be exported in a CSV file, to be subsequently managed in other programs for statistical analysis such as Microsoft Excel or SPSS.




HOW CAN I SEE THE FORMS OR SELFREGISTERS AS I EDIT THEM?

With your credentials from the Clinicovery professional account through which you access the web, you can also access the native APP. Once you access the APP you will be able to visualize the Forms that you are editing and as your APP users will visualize it.




I HAVE PUBLISHED CHANGES IN A TEMPLATE OR FORM AND ARE NOT UPDATED IN THE APP

To see the updates in the APP, you must first make sure you do not have Forms incomplete or pending to be deleted in the IN PROGRESS tab of the APPs side menu. Once you have completed or deleted the pending Forms, you must return to the YOUR FORMS tab and refresh (slide the screen down) before accessing the Form. Once the APP has finished updating, the changes edited in your professional account will be visible.

This same process must follow the APP user to access the changes you have edited in the Forms or Templates assigned to this user.




HOW CAN I SEE THE GRAPHICS WITH THE RESULTS OF MY USERS?

To see the graphs elaborated based on the answers of your users to the autorregistro or Form, you must go to the Data screen of the lateral menu. Once you sign in, your users are shown in the first column. When clicking on a user, a second column will open with the list of Templates assigned to that user. When clicking on the Template that you wish to consult, a third column will open with the list of items or questions that the Template contains, and when you click on the question whose results you want to know, the graph or table of results will open. You can enlarge the graph and select the period of time over which you want to consult the results.

If you can not visualize the results, check that the period of time you have selected in the selector at the top left corresponds to an active record period. If you still do not see the results, check if the APP user has sent the Forms or if they are pending synchronization.




CAN THE APP USER ACCESS YOUR RESULTS?

With the same credentials to access the APP, the user can access the Clinicovery web tool to see their results. When accessing, on the left menu, Data will be displayed as the only page. You can see the assigned Templates and when clicking on the question whose results you want to consult, you can view the graph for the desired period, as viewed from the professional web tool account.




DOES MY APP USER RECEIVE ANY TYPE OF NOTIFICATION?

The user of APP that you have registered only receives the notifications that you send him from the professional account through the Notifications screen of the lateral menu.

You can also receive automatic notifications when your responses to the self-registration or Form evolve in the desired direction, however this functionality is disabled by default.




CAN I EXPORT THE DATA?

Yes, in the Forms screen, next to each Form you can export in a CVS file the data stored and registered for all the users to whom you have assigned the Form. In this file the answers are collected for each user, indicating the date and time of completion in each case.




DOES THE DATE THAT CONSISTS OF DATA OR CVS FILE CORRESPONDS TO THE DATE OF COMPLETION OF THE SELF-REGISTRATION OR SYNCHRONIZATION?

To the date of completion. If the user has completed a self-registration or Form and has not synchronized or sent it, the subsequent date indicates the date on which he responded to each Form and not the date of synchronization.




HOW CAN I ACCESS THE IMAGES OR AUDIO FILES OF THE AVERAGE FUNCTIONALITY?

In the Data screen of the side menu you must access the graph of the question that has this functionality activated and expand it. When doing so, a table with the audio files or images sent by your user is displayed at the bottom of the screen.




HOW CAN I CREATE A TABLE THAT INCLUDES DAYS OF THE WEEK, HOURS, ETC.?

Welcome to the momentary evaluation with APP! You can not, but the good news is that you do not need it. Remember that Clinicovery records the day and time automatically, so the time variable is no longer necessary to register it expressly. If your user must perform the self-registration on a daily basis, simply log in daily and answer the questions you have edited for him / her. In the Data section, the days with their respective answers will be shown automatically, and if there are several answers in a single day, they will average them. However, you can see a detail of the individual responses and time of completion by placing the cursor or mouse on the day you want to consult. On the other hand, a table could not be seen on the screen of a mobile with the quality that is required for your user to answer properly. Tables are already things of the past and with Clinicovery you do not need them anymore.
